The free email health check
When you run the email health check, the domain you enter is sent to our checking service. It looks up that domain’s public DNS records and related public information, such as whether the domain’s mail servers appear on public spam blocklists and whether its website loads securely. These are the same records anyone on the internet can look up.
The check doesn’t read, receive or store any email.
For each accepted check, we record the domain, time, visitor IP address, page and referring page (when available), campaign tags (UTM values), and whether the check completed or used a cached result. We use these records to understand use of the website check and send a daily usage summary to our own inbox using Cloudflare’s email service. Records in our checking service are deleted after seven days; emailed summaries are separate copies kept in our inbox.
We use your browser’s session storage to carry the referring page and campaign tags between pages in the same tab, until the tab is closed. This information is sent to our checking service only when you run a check. We strip other URL parameters and fragments from the recorded page and referring page.
To stop automated abuse, the health check and the full report request are protected by Cloudflare Turnstile, which runs invisibly in your browser and looks at technical information to tell people and bots apart. Requests may also be rate-limited by IP address. Cloudflare’s Turnstile Privacy Addendum explains what Turnstile collects and how Cloudflare uses it, and Cloudflare’s privacy policy covers the rest.
The full email health report
If you ask for a full report, we collect the domain you want checked, your name, your email address, your organisation if you give it, and whether you’d like a free call to go through the results.
We use this to:
- confirm the email address belongs to you, by sending you a link to click before anything else happens;
- run a deeper check of the domain and email you the report;
- let us know about your request, so we can follow up on the report and arrange a call if you asked for one.
Emails about your report are sent using Cloudflare’s email service. We keep report requests and the reports themselves for 90 days, then delete them. We don’t add you to a mailing list.
Forms you fill in
If you use our contact form, we collect what you enter, usually your name, email address and a message. We use it only to reply to you. Our forms are run on our own forms service, hosted on Cloudflare.
Website analytics
We use a self-hosted copy of Umami to count visits and see which pages are useful. It doesn’t use cookies or build a profile of you, and the information stays on our own systems.
How long we keep information
We keep full report requests and reports for 90 days. We keep other enquiries for as long as we need them to help you and follow up. Either way, we’ll delete your information sooner if you ask.
Your rights
You can ask us to show you the information we hold about you, correct it, or delete it. Email [email protected] and we’ll respond within one month.
If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office.
